About the Position
As the Executive Assistant, Board & Committee Manager you will perform a wide variety of administrative tasks to support the President/CEO, Board of Directors, and multiple Board committees.

Essential Duties and Responsibilities

  • Board and Committee Manager - manage all administrative functions associated with the Board of Directors and associated Committees (currently seven)
    • Schedule meetings, draft agenda, and minutes, collect and post all meeting materials
    • Ensure timely set-up (and clean up) for all Board and Committee meetings, which includes arranging room with seating, name tags and providing refreshments, meals and/or other materials as needed
    • Ensure staff who will attend and/or present at Board or Committee meeting are included in correspondence and have information needed
    • Ensure that all action and other items requiring follow-up are assigned to the right staff member with a deadline
    • Anticipate and respond to Board and Committee member requests
    • Assist with Board and Committee member engagement activities
    • Maintain roster and tenure dates for all Board and Committee members
    • Maintain and keep current Board orientation materials
    • Develop and manage process for standard recognition of Board and Committee service
    • Assist with development and implementation of Board surveys
    • Manage and maintain a filing system for corporate records, documents, and reports
    • Stay current on and recommend technology that will ensure effective Board and Committee meetings
 
  • Executive Assistant to the President/CEO - manage all the administrative details such as:
    • Manage calendar for CEO, schedule and set-up meetings as requested
    • Make travel arrangements for CEO
    • Draft and/or proofread and edit CEO correspondence, including emails, agendas and other documents as requested
 
  • General
    • Model organizational values and drive culture
    • Provide exceptional service to other employees, Board & Committee members, existing, and prospective donors, nonprofit and other partners
 
Knowledge, Skills, and Abilities
  • Ability to understand and respond to a range of requests in a timely manner
  • Is both reliable and dependable
  • Highly organized with attention to details and timeliness
  • Can anticipate needs, adapt to changing priorities and multiple demands within short timeframes
  • Preferred knowledge of scheduling applications and conferencing technology
 
Education, Experience, and Certificates
  • Bachelor’s degree in a relevant discipline or equivalent years of experience required
  • Minimum of 4 years of experience required or let us know how your experience makes you an ideal candidate
  • Bilingual in English and Spanish a plus
